State 48 Farm Table — Rental Care & Delivery Guide

1) Overview

This Rental Care & Delivery Guide (“Guide”) outlines the expectations, responsibilities, and procedures for all rentals provided by State 48 Farm Table ("State 48," "we," "us," or "our"). This Guide is incorporated into and forms part of our Terms of Service and Refund, Return & Cancellation Policy.

By booking a rental, you acknowledge that you have read, understood, and agree to comply with the provisions contained herein.


2) Rental Care Responsibilities

2.1 Client Responsibility

You are responsible for the proper care, handling, and safekeeping of all rental items from the time of delivery or client pickup until State 48 retrieves or receives them. All items must remain in the same condition as delivered, except for ordinary wear from approved use.

2.2 Use Conditions

  • Rental items are to be used only for the event and purpose specified in your agreement.

  • Items must not be altered, modified, cut, drilled, painted, glued, nailed, or stapled.

  • Protective pads, linens, or coasters must be used for serving food, beverages, or placing décor on surfaces.

  • Tables must never be dragged or stacked; all items should be lifted by at least two people.

  • Adhesive products (e.g., tape, glue, or command strips) must not be applied to any finished surface.


3) Indoor vs. Outdoor Use

3.1 Outdoor Placement

Many of our tables and décor pieces are crafted from natural wood and sealed for interior or covered use. If used outdoors:

  • Items must be placed under cover or tenting at all times.

  • Avoid exposure to direct sunlight, moisture, rain, mud, or high humidity.

  • Tables must be set on a level and dry surface; never directly on grass or dirt without protective flooring.

  • Client assumes full liability for any weather-related damage, including warping, discoloration, or structural harm.

3.2 Weather Contingency Plan

Clients must have a weather contingency plan (e.g., indoor relocation or tenting) in case of rain, wind, or other adverse conditions. State 48 reserves the right to refuse setup or require relocation if weather or site conditions risk damage to property or safety.


4) Delivery, Setup & Pickup

4.1 Standard Delivery

  • Standard delivery includes first-floor access within 100 feet of the delivery vehicle and a scheduled delivery window.

  • Delivery windows are pre-assigned and confirmed 1–2 weeks prior to the event. We will make reasonable efforts to accommodate venue coordination.

4.2 Access Requirements

Clients must ensure the site is ready for delivery at the scheduled time and that clear, unobstructed access is provided. Additional fees may apply for:

  • Stairs, elevators, or long pushes exceeding 100 feet.

  • Difficult access routes, tight turns, or steep terrain.

  • Off-hour deliveries or pickups (before 8:00 a.m. or after 6:00 p.m.).

4.3 Setup & Teardown

Setup and teardown are included only if explicitly stated in your invoice. If the client or venue requires on-site assembly or staging beyond what is stated in the contract, additional labor charges may apply.

4.4 Client or Representative Presence

A client, event planner, or authorized venue representative must be present during both delivery and pickup. Delivery crews cannot leave items unattended without sign-off. Any unconfirmed delivery will be rescheduled at client expense.

4.5 Pickup

  • All rentals must be ready for pickup at the scheduled time and in the same location as drop-off, unless otherwise agreed.

  • Tables and furniture must be cleared of décor, linens, or personal items prior to pickup.

  • Wait-time beyond 15 minutes may incur additional charges.


5) Damage, Loss & Cleaning

5.1 Client Responsibility

The client is fully responsible for any loss, theft, or damage (beyond normal wear) from the time of delivery until pickup. Charges for repair or replacement will be assessed at current retail or market replacement cost.

5.2 Cleaning Standards

  • Tables and furniture must be wiped free of food, wax, or debris prior to pickup.

  • Spills should be cleaned immediately using a damp cloth only — no solvents or harsh cleaners.

  • Excessive residue or staining may result in additional cleaning or refinishing fees.

5.3 Missing or Damaged Items

If items are missing or damaged upon pickup, we will provide written notice and an invoice for replacement or repair costs. Security deposits may be applied toward such amounts, with any remaining balance billed to the client.


6) Security Deposit & Damage Waiver

State 48 may require a refundable security deposit or offer an optional Damage Waiver for accidental damages.

  • The Damage Waiver, if purchased, covers accidental damage from normal use but excludes loss, theft, negligence, misuse, or weather-related damage.

  • Deposits are refunded once all items are inspected and confirmed in good condition.


7) Event-Site Readiness

Before delivery, ensure:

  • The venue has accessible parking for a delivery vehicle.

  • Pathways are clear of obstructions, mud, and debris.

  • Set-up locations are confirmed and level.

  • All event staff or vendors are aware of delivery and pickup times.

Failure to provide proper site readiness may result in rescheduling, additional delivery fees, or cancellation without refund.


8) Weather, Force Majeure & Risk of Loss

State 48 is not liable for delays, damages, or failure to perform caused by weather, acts of God, labor strikes, accidents, or other events beyond reasonable control. Risk of loss transfers to the client at the time of delivery and remains until pickup.

For urgent day-of-event delivery or pickup issues:

10) Acknowledgment

By confirming a booking, signing an invoice, or remitting payment, you acknowledge that you have read and agree to this Rental Care & Delivery Guide as part of your rental agreement with State 48 Farm Table.
